Booking System Terms and Conditions

These terms and conditions govern bookings for the Life Education Learning Tour organized by Xiao En. By making a booking, you agree to the following terms and conditions:

In the following text, Xiao En Life Education Outreach Unit will be referred to as “LEOU”

1. Booking Eligibility

• Only registered educational institutions, including schools, colleges, recognized educational units, or registered and certified organizations, are eligible to book the Life Education Learning Tour.

• The booking must be completed by an authorized representative of the applying organization.

2. Booking Confirmation

• Once the booking has been successfully reserved, LEOU will contact the designated representative to confirm the learning tour details within 14 working days.

• A confirmation email with the booking details will be sent by LEOU to the representative's email address.

3. Booking Changes and Cancellations

Changes:

• Requests to change the date or time of a confirmed booking must be made at least 2 months in advance. Changes are subject to availability.

Cancellations:

• Cancellations must be made in writing at least 2 weeks prior to the scheduled learning tour date.

• If a cancellation is made, LEOU reserves the right to place the learning tour on a waiting list for potential rescheduling based on availability.

Adverse weather conditions and Unforeseen Circumstances:

• LEOU reserves the right to reschedule or cancel a learning tour due to weather, safety concerns, or other unforeseen events. In such cases, rescheduling will be offered without additional fees.

4. Attendance and Supervision

• The school/organization must provide an adequate number of adult supervisors for the group, with a minimum of 1 supervisor per 10 students, as per Life Education Learning Tour’s safety guidelines.

• All students must be accompanied by their teachers or authorized personnel during the tour.

5. Payment Terms

• The learning tour is free of charge. LEOU will provide a complimentary lunch meal for all participants attending the learning tour.

• All participants are responsible for arranging their own transportation to Xiao En Memorial Park/Xiao En Centre.

6. Tour Guidelines and Conduct

• All participants must adhere to the rules and guidelines provided by the tour staff to ensure a safe and enjoyable experience for everyone.

• Disruptive behavior by students or supervisors may result in termination of the learning tour.

7. Liability

• LEOU will take reasonable measures to ensure the safety and security of all participants. However, LEOU is not responsible for any injury, loss, or damage arising from the tour, except as required by law.

• The school/organization are encouraged to carry their own insurance to cover any potential risks associated with the learning tour.

8. Privacy and Data Use

• Personal data collected for booking purposes will be handled in accordance with the LEOU Privacy Policy.

• Data will be used solely for managing bookings and learning tour-related communication.

9. Feedback and Disputes

• All participating schools/organizations need to complete and submit an expectations report to LEOU two weeks before departure.

• The schools/organizations are encouraged to provide feedback on the learning tour experience. Any disputes or complaints should be submitted in writing within 7 days of the learning tour date.

• LEOU will make every effort to resolve disputes amicably.

By making a booking, you acknowledge and agree to the terms and conditions outlined above. Xiao En reserves the rights to amend these terms and conditions at any time.
